    One of the most reliable retirement savings plans in India, the Employees’ Provident Fund (EPF) is managed by the Employees’ Provident Fund Organisation (EPFO). The system functions well overall, but sometimes, account holders experience issues with the system, such as a wrong amount, late transfer, or unarrived payment.

    The EPF Grievance is just a formal grievance which you file when there is some issue that arises with your EPF account. For the members, EPFO has introduced a well-defined system for redressing their grievances, which eliminates the need to move from office to office looking for answers.     Complaining is quite a speedy procedure as long as you have your information ready. This is how it works:

    1. Visit EPFiGMS portal (epfigms.gov.in) which is EPFO’s dedicated grievance management site.
    2. Click on “Register Grievance.” You will be asked to choose your current status (PF member, employer or pensioner).
    3. Fill in your details such as your name, EPF/ UAN account number and contact information.
    4. Select the grievance type from the drop down menu and state clearly what the grievance is.
    5. If you have any supporting documents, include them (bank statements, previous correspondence or receipts for claims strengthen your case).
    6. Submit the form. You’ll instantly receive an acknowledgment number.

    Save this acknowledgment number, as it will be the point of reference for all future follow ups.

    It is important to note that all these steps can be done without visiting any EPFO office. The entire registration and tracking process can be conducted via mobile or computer.     Important Tips for Filing an EPF Grievance

    There are several minor things that could determine the difference between having a quick resolution and a prolonged wait. When filing an EPF grievance consider the following:

    • Choose the appropriate channel. EPFO receives complaints via the online forum, email, a helpline over the phone, and in person, depending on the circumstances—typically the fastest method is the online forum.
    • Double-check your details. One of the most common causes of delays or rejection of complaints is due to errors on the account number or personal information.
    • Follow up periodically. If it doesn’t make any noise, don’t take it as a sign of progress, check the status periodically for a few days.
    • Keep a paper trail. Keep a copy of all correspondence, including email, SMS or portal updates, for your case.
    • Give it time. EPFO receives a large number of complaints and so there is a need to have patience given the excitement to get a resolution.

    EPF Grievance Resolution Timeline & Escalation Process

    Generally EPFO wants to address complaints within 15 days of being filed. However, more complex cases, particularly involving employer non-compliance will take longer.

    However, if your complaint goes unresolved within the expected time frame, you are not “stuck. 

    EPFO has escalation mechanism of 3 kinds:

    1. PF Commissioner: Regional: The initial contact person for complaints that have not been resolved.
    2. Central PF Commissioner: If the regional office doesn’t act, you can go here.
    3. Employee Provident Fund Appellate Tribunal: The last avenue of appeal for the employees’ grievances that are not resolved at the preceding stages.

    Escalating does not involve starting over, just referring to the original acknowledgment number and stating that it is still under investigation. There are expectations for turnaround at every level of appeal, so be sure to document the date you made the appeal and contact them in a reasonable period of time if it does not come through. However, the majority of complaints are addressed at the initial stage and never make it past the regional office.

    How to Track Your EPF Grievance Status

    After you’ve lodged your Complaint, it is easy to follow up:

    • Online: Log in to the EPFiGMS portal, click on ‘View Status’ and enter the acknowledgment number to check the status of your application as it happens.
    • Helpline: You can call EPFO’s Customer care number and mention your acknowledgment number to get an update.
